Level Destroyer Studios operates Common Ground: City Builder and this beta application system. This notice explains how we handle beta applications and optional promotional subscriptions.
Responsible privacy role: Studio Owner, acting as the privacy contact for Level Destroyer Studios. Direct privacy requests to beta@cgcitybuilder.com. This role handles access, correction, deletion and retention decisions.
Information collected and why
We collect your gamer tag or preferred name, email address, platform, city-building experience, play-style and friends/group preferences, and any comments you choose to provide. We also record application, verification and review dates, review decisions and internal notes. We use this information to review applications, organize testing and communicate about your application. Applying or being selected does not automatically grant beta access.
We record keyed request identifiers for abuse prevention, verification-token hashes, delivery status and administrative security/audit events. Queued email content is encrypted. The application form adds no advertising trackers or third-party page resources. Please avoid sensitive personal information in comments.
DreamHost and international processing
DreamHost provides our website, database and application-email hosting. For applicant information hosted on our behalf, DreamHost supplies processing services; Level Destroyer Studios decides why the information is collected and how it is used. DreamHost may also handle information for its own service-security, account or legal purposes, as described in its privacy policy.
DreamHost’s published data-processing terms permit processing in countries where it, its affiliates or subprocessors operate. Its published data-centre list includes the United States, the Netherlands and Singapore. These are provider locations, not confirmation that this account uses every region. The specific countries used for this account’s hosting, email, backups and support processing have not yet been confirmed. Information may therefore be processed outside your country. Contact our privacy contact for current verified location information.
Email verification and service messages
We ask you to verify your email using a secure link that expires after 24 hours. Your application enters the review queue only after confirmation. Verification and application-confirmation messages are necessary service communications and do not depend on marketing consent.
Optional promotional emails
Promotional development, Steam-availability and launch updates require a separate, optional request and explicit confirmation. We record the wording and time of that request and confirmation. Beta selection never creates marketing consent. You can unsubscribe through the secure email link without an account, or contact us. Unsubscribing does not cancel beta participation or necessary application-service communications. Promotional campaigns are not enabled in Phase 1. Before future promotional emails are enabled, their templates must identify the responsible business, provide its mailing address and contact information, and include a working unsubscribe mechanism.
Access and safeguards
Authorized Owner administration can access applications and their review history. Records are kept in a private database with access controls. We use secure sessions, hashed verification tokens and encrypted queued messages. These safeguards and this notice do not guarantee that every risk is eliminated.
Retention
- Unverified applications: 30 days after submission.
- Declined applications: identifying application information is removed after 90 days from the recorded rejection. Limited decision and security history may remain where reasonably necessary.
- Verified applications awaiting selection: until the beta concludes, followed by a retention review.
- Accepted testers: during participation, followed by a separately defined post-beta retention period. Until that period is set, records require manual review.
- Marketing subscribers: until unsubscribe or a verified deletion request, subject to applicable obligations. Limited withdrawal/suppression evidence may be retained to respect your choice.
- Consent and security records: only as long as reasonably necessary for security, accountability and legal obligations, with manual review where no specific period is defined.
The retention process identifies eligible records and checks their current state before removal or anonymization. Automated deletion is not enabled. Records with an undefined deadline are flagged for manual review rather than assigned an arbitrary expiry. Backups and necessary consent/security evidence are reviewed separately.
Access, correction and deletion requests
Contact beta@cgcitybuilder.com to request access, correction, deletion, a subscription change or help with your application. We may need to verify your identity before acting. Do not send passwords or verification codes. We assess requests alongside any information reasonably needed to honor unsubscribe choices, resolve an issue or meet applicable obligations.
